How to send mass cold emails using Microsoft Outlook, Excel and Word
Sending massive cold emails through Outlook and Word can be a useful way to reach out to a large number of potential leads or customers at once.
Here are the steps you can follow to send massive cold emails through Outlook:
- Prepare your Excel sheet. Let’s say you know that your emails are the same for everyone, except for the Email address of the recipient, Name in the Salutation and the Promo Code in the body of an email. To be able to use these two variables, create an Excel sheet that will contain three colums: Name, Code and Email respectively. Your Excel file should look like this.
- Draft your message in Microsoft Word. Prepare a template for your email using <xyz> to mark the spots where the variables from your Excel sheet belong.
- With your email draft ready you can move on to the next step. Click on the Mailings tab in the menu ribbon and select the Start Mail Merge option.
- Now it is time to link our Word template with our Excel sheet. In Mailings section, click on ‘Select Recipients’ and then in the dropdown, click on ‘Use an existing list’
- Select the Excel file you’ve created and the sheet on which relevant data can be found. Now it is time to replace the <xyz> fields with real data fields. Click on Insert Merge Field, select the field and click on an Insert button at the bottom of the pop-up window. Rinse and repeat until you change all your <xyz> fields with relevant data fields.
- Once you’ve done that, your message should look like this:
Notice, how <Name> and <Code> have changed to “Name” and “Code”. - Now it is time to send your emails. In the Mailings section click on “Finish & Merge” -> “Send Email Messages”. The pop-up like this should appear:
Select the “To” field that should containt the recipient’s email, add Subject line and click on Ok. - Congrats, your first batch of emails went out.
It’s important to keep in mind that sending massive cold emails can be seen as spammy, and may not be effective in generating leads or making sales. It’s a good idea to use this approach sparingly and consider other methods of reaching out to potential leads, such as social media or targeted advertising.
